Emerald Advisors is seeking an Office Manager to join our team of professionals focused on providing purpose-driven wealth management to high-net-worth clients. This is an opportunity to work directly with the firm’s founder and other team members in building efficiencies, improving communications and enhancing the client experience. As a critical team member, you will contribute to a thriving business while being a part of the inner workings of an independent registered investment advisor. This individual must possess high attention to detail, strong communication skills and a keen ability to problem-solve.
Responsibilities:
- Overseeing the documentation of client interactions in the CRM through team collaboration as well as attending client meetings to summarize key points and action items.
- Scheduling of team, client and prospect meetings as well as managing agendas. This may include some travel arrangements.
- Planning internal (team morale and offsite) and external (client appreciation) events.
- Coordinating client care including recognizing important milestones.
- Data management and clean up.
- Providing support in preparing presentations and management of social media.
- Overseeing the creation and distribution of regular client communications
- Filtering of emails and other communications to free up time for the Founder.
- Managing office supplies, ensuring proper stock levels and timely replenishment
- Maintaining a welcoming and professional office environment. Greet visitors, answer phones, and assist in creating a positive workplace atmosphere.
Requirements:
- Bachelor’s degree, preferably in finance or business.
- 3-5 years experience supporting individuals at the executive level within the wealth management industry
- Strong computer literacy including experience with Outlook, Powerpoint, Excel and CRM tools
- High level of organizational skills and ability to manage multiple priorities in a fast-paced, changing environment.
- Ability to be flexible, prioritize tasks, think several steps ahead and ensure follow through.
- Strong communication skills including written correspondence.
- Excellent interpersonal skills with strong orientation towards service and teamwork.
- Passion for helping clients.
- Demonstrated ability to think critically on a strategic level, take initiative and problem-solve.
